New Timesheet Versioning and Logging in Dynamics AX 2012 R2 CU7

Microsoft has recently made available the CU7 release of the Microsoft Dynamics AX 2012 R2 ERP system.  As a provider of Microsoft Dynamics AX ERP solutions to the professional services industry, we’ve been anxiously awaiting the CU7 release due to the addition of some significant enhancements to the Project Management & Accounting functionality in Dynamics AX.  This blog is the latest in a series of articles that will explore new functionality introduced in Dynamics AX 2012 R2 CU7.  In previous articles that are posted on this blog site, we reviewed the new Work Breakdown Structure (WBS) and the new Inter-company Projects functionality.

In this article, we’ll discuss a new feature in the timesheets area of Dynamics AX that was specifically added in an effort to make Dynamics AX a better fit for the government contractor market. Government contractors that provide services to the government typically bill the government on a cost-plus basis. Therefore, the DCAA has put forward very stringent audit requirements when it comes to proving your cost base for these cost-plus projects. Labor costs are one of the most significant cost inputs, so there is extra attention paid to the area of entering and approving timesheets.

A new feature in Dynamics AX 2012 R2 CU7 adds audit trail capabilities to the timesheets that allows for logging and versioning of these timesheets. This is used primarily to track changes to the timesheet, such as timesheet corrections. When creating or updating a timesheet, Dynamics AX can now control versions of the timesheet, log the changes that are made, and require submitters to provide a reason for the timesheet update. This provides a comprehensive audit trail designed to address DCAA and FAR audit regulations.

Below, you can see a screenshot of the new timesheet form in the Dynamics AX Windows client, which now includes a section in the timesheet for noting a Change Reason when you update a timesheet. Similar functionality is provided in the Enterprise Portal version of the timesheet that is more often used by self-service users to enter their timesheets through a web browser.

The second screenshot below shows the versioning and logging of the timesheets.  You can see the logging of the updates in the timesheets, along with the reason for the change, as well as a comparative view that shows the detailed changes to the timesheet lines.
